Effective Date: March 18, 2026
At RESHOA, we know that your home is your most valuable asset, and your privacy is part of that value. This Privacy Policy explains how we collect, use, and protect the information of homeowners, board members, and website visitors.
We don’t sell your data. We don't "ghost" your concerns. And we certainly don’t play games with your information.
1. Information We Collect
To provide "corporate-grade" management, we collect specific types of information:
- Homeowner Data: Name, property address, mailing address, phone number, and email.
- Financial Information: For automated dues collection, we collect bank account (ACH) or credit card details. This is processed through secure, PCI-compliant third-party gateways. We do not store full credit card numbers on our local servers.
- Board Member Data: Information necessary for community leadership, including "Meeting Martial Arts" logs and board-specific communications.
- Usage Data: Standard website analytics (IP addresses, browser type) to help us ensure our real-time portal is running smoothly for you.
2. How We Use Your Information
We use your data strictly to manage your community effectively:
- Operations: Processing maintenance work orders and site inspections.
- Accounting: Generating real-time financial dashboards, zero-based budgets, and delinquency reports.
- Compliance: Sending official notices, welcome packets, and covenant enforcement reminders.
- Communication: Responding to your calls and emails within our "no-ghosting" service standards.
3. Sharing Your Information
We only share information when it is essential to the "Operational Rigor" of your HOA:
- Service Vendors: We share your address or phone number with landscapers, snow removal crews, or plumbers so they can complete authorized repairs.
- The Board of Directors: As the governing body of your HOA, Board members have access to community records, including delinquency reports and violation logs, as required by Colorado law and your community’s bylaws.
- Legal & Compliance: We may share data with the Association’s attorney or CPA for audits, tax filings, or necessary legal actions.
- Never for Sale: We will never sell your personal information to third-party marketers.
4. Security of Your Data
We treat your community’s data with the same care we use to guard your Reserve Fund.
- Encryption: Our portal uses industry-standard SSL/TLS encryption.
- Access Control: Only authorized RESHOA staff and designated Board members have access to sensitive financial reports.
- Financial Integrity: We use secure, encrypted payment processors for all dues collection to prevent fraud and minimize risk.
5. Your Rights & Choices
- Portal Access: You can log in to your RESHOA portal 24/7 to review, update, or correct your contact information.
- Communication: You can opt-out of non-essential community newsletters, but you cannot opt-out of legally required notices (like assessment bills or meeting notifications) as long as you are a member of the Association.
6. Colorado Privacy Rights
As a local team serving the Front Range (Centennial, Littleton, Castle Rock, etc.), we comply with the Colorado Privacy Act (CPA). If you are a Colorado resident, you have the right to request access to your data or ask for its correction, subject to the records retention requirements of the Colorado Common Interest Ownership Act (CCIOA).
7. Changes to This Policy
If we update our systems or if Colorado statutes change, we will update this policy. We will notify you of significant changes via the homeowner portal.
